What data do we collect and for what purpose?
The scope and purpose of data collection depends on how you use the Administrator’s services, including how you use the website at https://unitedknowledge.pl („Service”).
I. User Data, which is collected automatically after entering the Service:
In order to enable the provision of the service and to protect copyrights, as well as for statistical and billing purposes, the Service processes data characterizing the way Users use the Service’s services. For this purpose, the server:
• monitors the IP address from which the User connects,
• collects statistical information about the pages viewed.
Among other things, information is collected regarding the connection of the User’s computer to the Internet, websites, files that the User opens or downloads, as well as the date and duration of the visit. In addition, we determine the identification data of the web browser and the type of operating system, as well as data of the website from which the User went to the Service’s website. In the scope of contacting support without creating an account, we additionally process the first name, last name and e-mail address. The Service does not store any information about the hardware configuration of the computer or programs installed on the User’s computer. The IT system used by the Service automatically collects data related to the device used by the User to connect to the Service in logs. This data is collected only for statistical purposes and is used only in the process of optimizing the Service in order to ensure the greatest possible convenience of use, which constitutes our legitimate interest. This data is never combined with other data and only constitutes material for statistical analysis and mechanisms for correcting system errors.
II. Creating a user account When creating an account on the Service (or updating data), the User is asked to provide the necessary data to create and manage the account, i.e. e-mail address, first name, last name, area code, telephone number. Providing data marked as mandatory is necessary to create an account, and failure to provide it results in the inability to create an account on the Service. Providing the remaining data is voluntary. Personal data is processed:
• for the purpose of providing services related to maintaining and servicing an account on the Website and for the purposes of communication related to the use of the website – the legal basis for processing is the necessity of processing to perform the contract, while in the scope of data provided voluntarily – the legal basis for processing is consent;
• for analytical and statistical purposes – the legal basis for processing is a legally justified interest, consisting in conducting analyses of Users’ activity on the Website and the way they use the account, as well as their preferences, in order to improve the functionalities used;
• for the purpose of informing the User about circumstances concerning the Website and non-commercial information – the legal basis for processing is a legally justified interest, consisting in informing about the activities we conduct;
• for the purpose of possibly determining, pursuing or defending against claims – the legal basis for processing is a legally justified interest, consisting in protecting our rights;
• in the case of data provided voluntarily – the legal basis for processing is the consent granted;
• in the event of expressing separate consent during registration, the User’s e-mail address will be used to send the newsletter, i.e. to provide commercial information regarding the products or services we offer – the legal basis for processing in this case is our legitimate interest in connection with the expressed consent;
III. Data of Users using the contact form:
In the event that the User contacts us via the contact form, they are asked to provide identification data, i.e. name and surname and e-mail address. The User may be asked to provide additional data only if it is necessary to handle the matter to which the contact relates. The legal basis in such a case is our legitimate interest consisting in the need to resolve the reported matter or to respond to the inquiry and to pursue and defend against potential claims.
IV. Dane Użytkowników nawiązujących kontakt poprzez wiadomość e-mail:
W przypadku, gdy Użytkownik kontaktuje z nami za pośrednictwem wiadomości e-mail, przekazuje nam jednocześnie swój adres e-mail jako nadawca wiadomości. V. Dane użytkowników profili w social media:
Nasze profile w serwisach: Facebook, Instagram, LinkedIn są publiczne. Użytkownik, który odwiedza nasz profil udostępnia nam swoje dane osobowe (np. nazwę konta, komentarze, polubienia, identyfikatory internetowe oraz adres IP urządzenia, z którego korzysta). Dane te są przetwarzane w celu: (i) umożliwienia nam efektywnego prowadzenia naszego profilu w danym serwisie lub aplikacji w związku z promowaniem przez nas różnego rodzaju wydarzeń, usług oraz produktów oraz (ii) komunikowania się z użytkownikami. Podstawą prawną przetwarzania danych osobowych jest nasz prawnie uzasadniony interes, polegający na promowaniu naszej marki, poprawie jakości świadczonych przez nas usług, a także bieżącej komunikacji z użytkownikami fanpage. UWAGA: powyższa informacja nie dotyczy przetwarzania Państwa danych osobowych przez administratorów poszczególnych serwisów.
VI. Data of newsletter recipients:

• in the case of sending marketing content to the User as part of the newsletter – the legal basis for processing is a legally justified interest in connection with the consent granted by the User;
• for analytical and statistical purposes – the legal basis for processing is a legally justified interest, consisting in conducting an analysis of user activity on a given website, in order to improve the functionalities used and improve our offer;
• in order to possibly determine, pursue or defend against claims – the legal basis for processing is a legally justified interest, consisting in protecting our rights.
VII. Personal data collected as part of applications for participation in the Administrator’s events:
If you have reported your willingness to participate in events organized by the Administrator (conferences/webinars/meetings), we collect data in the form of an e-mail address, names and surnames of participants, telephone number and billing data (if applicable).
Personal data are processed:
• in order to enable participation in the event organized by us – the legal basis for processing is the necessity of processing to perform the contract;
• in order to fulfill our statutory obligations, resulting in particular from tax regulations and accounting regulations, consisting, among others, in the necessity to issue an invoice for participation in the event and its archiving – the legal basis for processing is a legal obligation;
• any determination, investigation or defense against claims – the legal basis for processing is a legitimate interest consisting in the protection of our rights;
• in the event of additional consents, the personal data provided will also be processed for the purpose of sending marketing information regarding subsequent events of the Administrator or marketing content of the Administrator as part of the newsletter, which constitutes our legitimate interest.
VIII. Personal data of persons who are potential customers of the Administrator:
We process personal data of potential customers, including, among others: name and surname, company name and contact details, in order to:
• propose our services or the services of our partners – the legal basis for processing is our legitimate interest;
• possibly determine, pursue or defend against claims – the legal basis for processing is the legitimate interest consisting in the protection of our rights;
• take action to conclude an agreement – the legal basis is taking action at the request of the data subject before concluding an agreement.
How long do we process data?
The period of data processing depends on the legal basis and the purpose of processing. As a rule, data is processed:
a. for the duration of the service;
b. until the consent is withdrawn;
c. until an effective objection is filed;
d. until an effective request to delete the data is made.
What rights do you have in relation to the processing of your personal data?
We guarantee the implementation of all rights of persons whose data we process, including the right to:
• access to data, including obtaining a copy;
• rectify data;
• delete data;
• limit the processing of data transfer;
• object;
• withdraw consent at any time (which does not affect the lawfulness of the processing carried out before the withdrawal of consent);
• file a complaint to the President of the Personal Data Protection Office;

To whom are personal data shared?
Personal data is transferred to entities processing data on behalf of the Administrator, such as, among others: a company providing accounting and marketing services, on the basis of appropriate agreements. Such entities process data only in accordance with our instructions, while maintaining their confidentiality and security. We have the right to control the method of processing the data entrusted to us. The Company transfers personal data to an entity providing IT support and server delivery services to it – IQ Corporation LTD based in Great Britain. Data of customers making transactions may be made available to entities handling payments, banks intermediating in payments and the other party to such a transaction. In other cases, personal data may be disclosed to entities authorized solely under the provisions of law. In particular, data may be made available to the General Inspector of Financial Information and other competent authorities, if we are obliged to do so under the AML Act.
Transfers of data outside the EEA
The Administrator transfers personal data outside the EEA as part of using the services of such subcontractors as Microsoft Corporation, Alphabet Inc. (Google), Meta Platforms, Inc., which are based in the USA. We make every effort to ensure an adequate level of protection of personal data, in particular after carefully considering the security of data offered by subcontractors, including after conducting an impact assessment on the protection of personal data in connection with the transfer of data outside the European Economic Area. Data may also be transferred to the United Kingdom – as part of cooperation with an entity providing us with IT services and servers. In this case, the transfer takes place on the basis of a decision confirming the adequate level of protection of personal data issued by the European Commission.
Social media
The Service uses plugins and other social media tools provided by social media sites such as Facebook, Instagram, and LinkedIn. In connection with using a site that contains such a plugin, the User’s browser establishes a direct connection to the servers of the social media administrators (service providers). The content of the plugin is transferred by the given service provider directly to the User’s browser and integrated with the site. Thanks to this integration, the service providers receive information that the browser has displayed the service, even if the User does not have a profile with the given service provider or is not currently logged in to it. Such information (along with the IP address) is sent by the browser directly to the server of the given service provider (some servers are located in the USA) and stored there. If the User has logged in to one of the social media sites, the service provider will be able to directly assign the visit to the Service to their profile on the given social media site. If the User uses a given plugin, e.g. the „Like” button, the appropriate information will also be sent directly to the server of the given service provider and stored there. In addition, this information will be published on the given social networking site and will be displayed to people added as User’s contacts. The purpose and scope of data collection and its further processing and use by service providers, as well as the possibility of contact and the User’s rights in this regard and the possibility of making settings to protect their privacy are described in the privacy policies of the individual service providers:

If you do not want social networking sites to assign data collected during visits to the Service directly to your profile on the given site, you must log out of that social networking site before visiting the Service. It is also possible to completely prevent plugins from loading on the website by using appropriate extensions for your browser, e.g. script blockers.
Cookies Policy
The Service uses so-called cookies. These are small text files placed on Users’ devices (e.g. computers) via web browsers. These files allow for the storage of specific information on the User’s device and then reading it by the service that created them. Cookies usually contain, in addition to the domain name of the website from which they originate, the time of their storage on the end device and a unique number. Cookies are used by us to:
adapt the content of the Website to the individual preferences of the User and optimize their use of websites (cookies allow in particular for the recognition of the Website User’s device and appropriate display of the website so that it is as best as possible tailored to their individual needs);
create statistics (so that we can better understand how Users of our Website use websites and, consequently, improve the structure and content of these pages);
The Service does not store any information about the hardware configuration of the computer or programs installed on the User’s computer. The following cookies are used on the Service:
our own cookies – we use them to ensure the proper operation of the website and ensure its security,
session cookies – after the end of a given browser session or after turning off the computer, the saved information is deleted from the device’s memory. The session cookie mechanism does not allow for downloading any personal data or any confidential information from the User’s computer,
persistent cookies – they are stored in the memory of the end device and remain there until they are deleted. The mechanism of persistent cookies sent by the Service allows for storing data that allows for the correct operation of the Service and its functions,
third-party cookies – our website, like most modern websites, uses functions provided by third parties, which involves the use of cookies from third parties. The use of this type of cookie is described below in point 10.
Changing cookie settings:
Usually, the User’s web browser allows cookies to be stored on the User’s end device by default. However, at any time, Users of the Internet Service have the possibility and right to change the settings for cookies. To change cookie settings, Users should familiarize themselves with detailed information about the possibilities and methods of handling cookies, which are available in the settings of the Internet browser. If the User does not agree to the placement of cookies on their device, they can block their placement by configuring their Internet browser accordingly. Information on how to do this can be found in the help files of their Internet browser. Unfortunately, if cookies from the Service are blocked, we cannot guarantee its correct operation. In order to provide our services and improve and analyze them, we also use the services and tools of other entities. These entities only pursue the goals specified by us. Below is information about our partners and the tools they use.
Google Analytics On the Website, we use the Google Analytics analysis tool, provided by Google Ireland Limited („Google”) based in Ireland. As part of this function, we use cookies to track website statistics, such as the number of visitors, the type of operating system and web browser used to browse the website, time spent on the website, subpages visited, and to obtain and analyze information regarding, among others, time spent on the Website. We use this information only to improve the quality of the Website. Google Analytics uses „cookies” technology, i.e. text files placed on the User’s device, in order to enable the Website to analyze the sources of traffic and the way in which visitors use it. Google collects data obtained from placing cookies on devices on its servers and uses this information to create reports and provide other services related to traffic and use of the Internet. Google may also transfer this information to third parties if required to do so by law or if such third parties process such information on Google’s behalf.
Facebook Pixel We use marketing tools such as Facebook Pixel to direct personalized ads to you on Facebook. This involves the use of cookies from Meta Platforms Inc. (formerly Facebook, Inc.) by Meta Platforms Inc. based in the USA or, if you are in the European Union, Meta Platforms Ireland Limited. We carry out this activity based on our legitimate interest in the form of marketing our own products or services. The above data is never combined with other data and is only material for statistical analysis and mechanisms for correcting system errors.
Server Logs Using the Service involves sending queries to the server on which the Service page is stored. Each query sent to the server is saved in the server logs. Logs include, among others, IP address, server date and time, information about the web browser and operating system you are using. Logs are saved and stored on the server. Data saved in the server logs are not associated with specific people using the site and are not used by us for identification purposes. Server logs are only auxiliary material used to administer the Service, and their content is not disclosed to anyone other than those authorized to administer the Service server.
Privacy policy changes
The policy is reviewed on an ongoing basis and updated as necessary. The current version of the policy has been adopted and is effective from October 16, 2023.
